Terms & Conditions
1. GENERAL
1.1 These Terms and Conditions (“T&Cs”) apply to all tickets for LOOPFEST (“the Event”). By purchasing a ticket and/or entering the Event, you agree to be bound by these T&Cs together with the terms of the official ticket agent used at the point of purchase.
1.2 “LOOPFEST”, “we”, “us” or “our” means LOOPFEST in the Community CIC and its employees, volunteers, contractors and authorised representatives.
1.3 LOOPFEST is an urban, multi-venue festival operating across licensed premises and public spaces. Entry conditions may vary between venues.
1.4 We reserve the right to introduce reasonable conditions, restrictions or operational measures before or during the Event to ensure public safety. You must comply with all reasonable instructions from Event staff, stewards or security.
1.5 We reserve the right to refuse admission or remove any person from the Event, without refund, for reasons including but not limited to:
• public safety
• failure to follow reasonable instructions
• antisocial, disruptive or dangerous behaviour
• breach of these T&Cs
1.6 Tickets are sold for the Event as a whole. Artists, line-ups, set times, venues and attractions are subject to change and do not constitute a material alteration of the Event.
1.7 No trading, marketing or promotional activity is permitted without our prior written consent.
1.8 By entering the Event, you consent to the use of your image, voice or likeness in any audio, visual or audiovisual recordings (including CCTV) for security, operational and promotional purposes, without payment.
1.9 Exposure to loud music may damage hearing. Lasers, strobe lighting, smoke and special effects may be used during performances.
1.10 Parents and guardians are responsible for deciding whether content or environments are suitable for children.
2. HEALTH & SAFETY
2.1 You attend the Event at your own risk. We accept no responsibility for illness, injury, loss or damage unless caused by our negligence and to the extent liability cannot be excluded by law.
2.2 You must not attend the Event if you are unwell in a way that may present a risk to others.
2.3 We cannot guarantee that attendance at the Event will be free from health risks associated with large public gatherings.
3. REFUNDS & CANCELLATION
3.1 Refunds will only be considered if:
the Event is cancelled in full and not rescheduled; or
the Event is materially altered, meaning it becomes substantially different from what ticket holders could reasonably expect.
3.2 Changes to artists, line-ups, venues, schedules, weather conditions or individual performances do not constitute a material alteration.
3.3 Refunds must be requested by the original purchaser via the official ticket agent within the timeframe specified by that agent.
3.4 Booking fees and transaction charges are subject to the ticket agent’s terms.
3.5 Personal expenses (including travel, accommodation or subsistence) are incurred at your own risk and will not be refunded.
3.6 We reserve the right to alter the Event’s date, time, duration or venues due to circumstances beyond our reasonable control, including safety or regulatory requirements.
4. TICKETS & WRISTBANDS
4.1 Tickets are valid only if purchased from an official ticket agent.
4.2 Tickets may not be resold or transferred except via an official resale or transfer facility where offered by the ticket agent.
4.3 Tickets must be exchanged for an official LOOPFEST wristband on first entry. Tickets are invalid once exchanged.
4.4 Wristbands are non-transferable and must be worn at all times. Wristbands that are removed, tampered with or shared will be invalid.
4.5 Lost or stolen tickets or wristbands will not be replaced.
4.6 We reserve the right to cancel tickets obtained in breach of these T&Cs without refund.
5. ACCESSIBILITY & PERSONAL ASSISTANT TICKETS
5.1 Personal Assistant (PA) tickets must be applied for in advance and are subject to eligibility criteria published on our website.
5.2 PA tickets are issued only in connection with a valid paid entry ticket.
5.3 PA ticket holders must provide valid ID on entry.
5.4 Application deadlines and requirements will be published annually.
6. SEARCHES & PROHIBITED ITEMS
6.1 Bag searches and security checks may be carried out as a condition of entry.
6.2 Certain items are prohibited, including but not limited to:
• illegal drugs or substances
• weapons or items that could cause harm
• glass bottles
• fireworks or flares
• drones
• spray cans or marker pens
• scooters or similar transport devices
6.3 Alcohol may not be brought into the Event.
6.4 Assistance dogs are permitted but must be declared in advance.
6.5 Prohibited items may be confiscated and not returned.
6.6 This list is not exhaustive and we reserve the right to prohibit items for safety or security reasons.
7. AGE POLICY
7.1 Age restrictions apply and may vary by venue.
7.2 Challenge 25 operates at all bars.
7.3 Valid photographic ID may be required for entry or alcohol service.
7.4 Children and young people must be accompanied and supervised by a responsible adult at all times.
7.5 Unaccompanied minors may be refused entry or escorted to welfare until a responsible adult is located.
8. BEHAVIOUR & EVICTION
8.1 Antisocial, abusive, discriminatory or unsafe behaviour will not be tolerated.
8.2 Anyone behaving in a manner likely to cause harm, nuisance or distress may be removed from the Event without refund.
9. DAMAGE & LOSS
9.1 You are responsible for any damage you cause to persons, property or infrastructure.
9.2 We reserve the right to recover costs or pursue legal action where appropriate.
10. MEDIA & RECORDING
10.1 Personal photography and filming for private use is permitted where not restricted.
10.2 Commercial filming, professional equipment or recording performances requires prior written consent.
10.3 Photography is prohibited in welfare, medical, security and backstage areas.
10.4 Unauthorised use of drones is strictly prohibited.
11. LOST PROPERTY
11.1 Lost property should be reported to Event Information Points.
11.2 Unclaimed items will be held for a limited period after the Event and then disposed of or donated.
12. DONATIONS
12.1 Any optional donation added to a ticket purchase is voluntary and will be directed to our nominated charity partner.
13. DATA PROTECTION
13.1 Information about how we process personal data is available in our Privacy Policy on the LOOPFEST website.
14. GOVERNING LAW
14.1 These T&Cs are governed by English law and subject to the exclusive jurisdiction of the English courts.
